Return & Refund Policy

Events are services, not products, so “returns” work differently here than in a shop. This policy explains how Learnhub Events & Experiences Sdn. Bhd. handles cancellations, postponements and refunds fairly — for you, for us, and for the suppliers who hold dates on your behalf. The precise figures for your project always live in your signed proposal; this page describes the principles behind them.
1. The honest economics of cancelling an event
From the day you confirm, money starts working: venues hold dates and decline other bookings, fabricators buy materials, artists block calendars, and our team commits planning hours. A refund can therefore never simply be “everything back” — but it should always be “everything that hasn’t genuinely been spent or irrevocably committed”. That is the principle every clause below serves.
2. Cancellation by you
- More than 90 days before the event: we refund all monies paid, less our mobilisation fee and any third-party deposits already non-refundable under supplier terms (we’ll show you the paperwork).
- 90 to 31 days before: we refund monies paid less the mobilisation fee, non-recoverable supplier commitments, and planning work completed to date, billed at the day rates in your proposal.
- 30 days or fewer before: most costs are committed by this stage; refunds are limited to whatever we can genuinely recover from suppliers, and we will pursue every avenue to recover it.
3. Postponement first, cancellation second
If your dates wobble, tell us before you cancel. Suppliers who would keep a cancellation fee will very often transfer a deposit to a new date instead, and we renegotiate on your behalf as standard. Postponements requested more than 60 days out typically carry no LearnHub fee at all — only whatever date-change terms individual suppliers impose.
4. Cancellation or failure by us
If LearnHub Events cancels an engagement for reasons within our control, you receive a full refund of all monies paid, including the mobilisation fee, within fourteen days. If a specific deliverable fails on the day through our fault, we credit or refund that deliverable’s value under the remedies clause of your service agreement — and we tell you what went wrong without being asked.
5. How refunds are paid
Approved refunds are paid to the original paying account, in Malaysian Ringgit, within fourteen days of the refund amount being agreed. We provide a line-by-line statement showing what was spent, what was recovered and what is returned.
6. Talk to us first
Every difficult situation we’ve ever handled went better because the client called early. If circumstances are shifting, contact your producer or write to [email protected] — options shrink with time, and we’d rather protect your budget than quote this policy at you.
