Privacy Policy

This Privacy Policy explains how Learnhub Events & Experiences Sdn. Bhd. (“LearnHub Events”, “we”, “us”), a company registered in Malaysia under registration number 202301029684 (1521106-T), handles personal data collected through the website learnhub.help and in the course of providing event management services. We process personal data in accordance with the Personal Data Protection Act 2010 (PDPA) of Malaysia.

1. The data we collect

We collect personal data in three main situations:

  • When you send us an enquiry. Our contact form asks for your name, email address, an optional phone number, the type of event you are planning and a description of your brief.
  • When we deliver an event for you. A production engagement may involve guest lists, dietary requirements, accessibility needs, travel details and similar information you or your organisation provide to us so that we can run your event.
  • When you browse this site. Our hosting infrastructure records standard technical logs (IP address, browser type, pages requested, timestamps), and optional analytics cookies — used only with your consent — record anonymised usage statistics. See our Cookie Policy for the full picture.

2. Why we use it

We use personal data to respond to enquiries, prepare proposals and budgets, plan and deliver contracted events, maintain our business records, comply with legal obligations, and — only where you have separately agreed — send occasional updates about our work. We do not sell, rent or trade personal data, and we do not use it for automated decision-making.

3. Guest data belongs to your guests

When a client shares attendee information with us for an event, we act on that client’s instructions: the data is used solely for the event it was provided for, shared only with suppliers who need it (for example, a caterer receiving dietary counts without names wherever possible), and deleted or returned within ninety days of the event concluding, unless the client instructs otherwise or the law requires retention.

4. Disclosure

We disclose personal data only to: suppliers and venues engaged on your event, to the minimum extent necessary; professional advisers such as auditors and lawyers under confidentiality obligations; and authorities where disclosure is required by Malaysian law. If any processing takes place outside Malaysia (for example, cloud-hosted project tools), we ensure the recipient provides protection substantially equivalent to the PDPA.

5. Security and retention

Personal data is stored on access-controlled systems, transmitted over encrypted connections, and accessible only to team members who need it for their role. Enquiry data is retained for up to twenty-four months from our last exchange with you; contractual and accounting records are retained for seven years as required by Malaysian law.

6. Your rights under the PDPA

You may request access to the personal data we hold about you, ask us to correct it, withdraw consent to processing (which may limit our ability to serve you), and object to direct marketing at any time. We respond to verified requests within twenty-one days.

7. Changes to this policy

We revise this policy when our practices or the law change, and the date at the top of this page always reflects the current version. Material changes will be flagged on this website for thirty days.
